Technology Advisory Committee Minutes

May 1, 2008

Provost’s Conference Room, 3:00 pm

Approval of A= pril 3rd, 2008 Minutes (action)

Ken motioned to approve the minutes and Virginia seconded them.  All were in favor and the minutes = were approved as posted.

 

Val asked for a vote to update the IPM to change the T= AC charter to add a dean or associate dean to the TAC roster to include the new college.  Cindy motioned to ac= cept the change and Virginia seconded it. All were in favor and the motion to change the charter was pas= sed.

 

Re-allocation= of FY09 TAC Allocations (action)

  • EVA on-line

Mark sta= ted that there is $20,000 available from EVA on-line.

  • Imaging for Admissions

Laurie distributed a hand-o= ut to the committee regarding the cost to implement Imaging in Admissions.

She told the committee that= it is more expensive than she thought. Even having $57,000 would not be enough for the project.  She stated three options:

A.     Gannon does most of it. Image now will write a script and additional $2400 that is information pulled out of Datatel.

B.     ImageNow to implement some basic set-up

C.     ImageNow to do the whole thing.

Laurie went on to explain t= hat we would incur a $9600 discount and reduced hours, so option C comes in lower.  We would get a workshe= et, but not a script. They feel strongly about $2400 worksheet. We need the ten licenses and all together we would get a cost savings of $300 off each lice= nse. Laurie also has a contact in = Wisconsin for help.  She needs the funds before July 1st and has detailed the need at $12,000 for a scann= er and a trip to Kansas City for training.

Mark stated that there is $= 25,000 left over from imaging/Financial Aid. Laurie said that the recurring costs of $7= ,000 will be covered by Admissions.  She needs to know if she has the $57,000.

Mike made a motion to provi= de $57,000 FY 09 of TAC funds for the Imaging in Admissions project and to pro= vide $2500 from FY08 to support the Imaging in Admissions project and Virginia seconde= d it. All were in favor and the motion was passed.

Jay announced that they are= going forward to implement the package for $41,000.

 

Project Ideas= for FY10 (informational)

Virginia stated that the TLTR committee would like to add the development of Student E-portfolios. They are meeting next week and she will have more information.

Ken would like to add a cre= ation of an institutional repository for the Library.

Val talked about institutio= nal processes. She asked the committee what could be done electronically that is done manually? What could we do within this committee that could make the university more effective so that we could be more strategic, i.e., a data warehouse. We have code= s, but do they make sense.

Tom added that there are di= agrams from other universities that show how to process, and programs that we can = look at.

Mark asked how we can be mo= re systematic. He will assign John to champion this. Val questioned whether the TAC is the group that does this. Carolynn said that we do not have a proces= s of what a student needs. And Val continued stating that we have a lot of measureables to give to the Gannon community.

Mark will incorporate this = with the original list and send it out electronically.

 

Mike motioned to adjourn and Carolynn seconded it.  All were in favor and the meeting adjourned at 4:10 pm.
